JOB SUMMARY:

The Purchasing Assistant supports the Director of Purchasing in all aspects of the procurement process with an emphasis on maintaining a sufficient and dependable supply of all basic items included in the Office’s standard supply inventory.

 

ESSENTIAL FUNCTIONS:

  1. Ability to effectively and professionally communicate with all levels of staff

  2. Excellent computer skills including command of Microsoft Office

 

JOB RESPONSIBILITIES:

Specific duties will include, but are not limited to the following:

  1. Promptly responds to approved purchase requests with appropriate orders, obtaining a clear, actionable understanding of staff needs

  2. Prepares bids and makes sound procurement recommendations to Purchasing Director

  3. Procures goods and services in accordance with NYC purchasing regulations, including requirements contracts, and internal office purchasing procedures

  4. Thoroughly explores vendor options to obtain goods and services for the office

  5. Makes sound procurement recommendations to Purchasing Director and updates the director on the status of orders

  6. Effectively responds to order difficulties with vendors, negotiates and provides clarification to vendors on terms and conditions of contracts as necessary

  7. Coordinates prompt, accurate delivery of supply to inventory clerks, and works with them to ensure that stocks do not fall below a critical level

  8. Maintains a perpetual inventory reporting system for supplies, including the development of automatic reorder points for each type of supply

  9. Participates in annual inventory review to comptroller, including preparing the count and pricing of current stock

  10. All other duties as assigned

     

    PREFERRED EDUCATION AND EXPERIENCE/QUALIFICATIONS:

  11. An Associate’s degree preferred or a High School diploma/GED and a minimum of two (2) years of relevant experience

  12. Excellent customer service skills

  13. Ability to work in a fast-paced environment
