JOB SUMMARY:
Under supervision, with latitude for independent judgment and initiative, the Assistant to the Bureau Chief of the Appeals Bureau will provide complex administrative support. Specific duties will include:

- Ability to maintain a strict order of confidentiality and handle issues in a discreet manner
- Detail oriented and excellent written and oral communication skills
- Exceptional organizational skills and strong attention to detail
- Proficient in Microsoft Office particularly Word, Excel, and Outlook
JOB RESPONSIBILITIES:
Specific duties will include, but are not limited to the following:
- Field calls and visitors for Bureau Chief.
- Field inquiries from courts, attorneys and public regarding status of briefs, motions and habeas corpus proceedings.
- Assist the Bureau Chief in preparing written material, including confidential and sensitive documents, such as special prosecutor applications.
- Assist the Bureau Chief in assigning briefs.
- Assist Bureau Chief in ensuring that all briefs are submitted, copied, served and filed by relevant deadline.
- Contact ADAs for briefs and stipulations.
- Communicate with Appellate Courts for justification of calendars.
- Communicate with institutional defender organizations (CAL, OAD, LAS) regarding briefs being served and filed
- Ensure that all briefs are properly inputted in AFS (Appeals Filing System).
- Ensure that all PDFs of appellants’ and respondents’ briefs are stored in AFS.
- Check for motions.
- Check for documents going out to Bronx Courts, Appellate and Federal Court.
- Check Appellate Division and Appellate Term calendars.
- Data entry for incoming and outgoing documents.
- Justify calendars (stipulations of adjournments, court-order adjournments).
- Assist the Motion Coordinators in ensuring that motions are properly inputted, and that answers are properly served and filed.
- Review mail and ensure its proper office-wide distribution by checking each document in AFS and BXDA.
- Order supplies.
- Communicate with DCAS for building services.
- Maintain vacation schedules and leave balances for ADAs.
PREFERRED EDUCATION AND EXPERIENCE/QUALIFICATIONS:
- A baccalaureate degree and prior work experience in a law firm, governmental agency, civic or community organization
- Ability to maintain a strict order of confidentiality and handle issues in a discreet manner
- Ability to work a flexible schedule in a fast-paced environment
- Excellent customer service skills
