JOB SUMMARY:
The Contract Assistant assists the Director of Purchasing with all activities related to the development, data entry and submission of agency procurements.
ESSENTIAL FUNCTIONS:

- Excellent computer skills in Microsoft Office.
- Ability to meet strict deadlines.
- Ability to work in a fast-paced environment
JOB RESPONSIBILITIES:
Specific duties will include, but are not limited to the following:
- Works with Director to develop clear, actionable goals and needs related to major purchases.
- Thoroughly explores vendor options to obtain goods and services for the office.
- Prepares bids and makes sound procurement recommendations to the Director.
- Executes all phases of the procurement process from bidding to the submission of a contract package, ensuring compliance with NYC purchasing regulations, such as the PPB, DCAS procedures and the requirements of the NYC Comptroller.
- Effectively responds to order difficulties with vendors, negotiates and provides clarification to vendors on terms and conditions of contracts as necessary
- All other duties as assigned
REQUIRED EDUCATION AND EXPERIENCE/QUALIFICATIONS:
- A baccalaureate degree, from an accredited college or high school diploma and a minimum of Five (5) years of relevant experience
- Extensive experience with the NYC bidding process, including solicitations, bid analysis, preparation of Comptroller’s package, FMS data entry, Passport and Vendex.
- Proficient in the data entry of FMS Contracts, including capital projects, RFPs, Intergovernmental procurements, and other complex purchases.
