Description

 

 JOB SUMMARY:

  Under supervision, with latitude for independent judgment and initiative, the Assistant to the Chief of Grand Jury Unit will provide complex administrative support.

 

 ESSENTIAL FUNCTIONS:

  1. Ability to maintain a strict order of confidentiality and handle issues in a discreet manner
  2. Detail oriented and excellent written and oral communication skills
  3. Exceptional organizational skills and strong attention to detail
  4. Excellent customer service skills in a fast-paced environment
  5. Proficient in Microsoft Office particularly Word, Excel, especially Pivot Tables, and Outlook

 

 JOB RESPONSIBILITIES:

  Specific duties will include, but are not limited to the following:
                           6.
Organize the Chief’s and two (2) additional Assistant District Attorneys (ADA) schedules, plan meetings and event

                        7. Maintain and produce multiple computerized spreadsheets, pivot tables, and reports as requested
                        8.
Assist
in preparing written material, including confidential and sensitive documents
                        9. Answer and screen telephone calls by determining the nature of the request and responding appropriately
                      10. Keep communication flowing between supervisors and ADAs
                      11. Order supplies
                      12. Create and maintain a filing system
                      13. Perform clerical duties when needed
                      14. Serve as liaison to a variety of internal and external resources, providing timely and accurate information
                      15. All other duties as assigned

 

 PREFERRED EDUCATION AND EXPERIENCE/QUALIFICATIONS:

                      16. A Bachelor’s degree or a High School diploma/GED and four (4) years of prior work experience in a law firm,
                            governmental agency, civic or community organization

                      17. Ability to work a flexible schedule in a fast-paced environment
                      18. Familiarity with general court services and functionalities
